Position Summary:

We are seeking a highly organized and detail-oriented Bilingual Administrative Assistant

(English/Spanish) to join our team. The ideal candidate will play a critical role in supporting daily office operations, client communication, and ensuring the smooth functioning of administrative processes. This individual must be fluent in both English and Spanish and possess excellent communication, organizational, and multitasking skills.

Key Responsibilities:

  • Greet clients and manage front-desk operations (in person, phone, and email) in both English and Spanish.
  • Translate documents, emails, and verbal communications as needed between clients and staff.
  • Schedule appointments, manage calendars, and confirm client meetings
  • Assist with the preparation and filing of tax, payroll, and accounting documents.
  • Collect, organize, and maintain client records securely and confidentially.
  • Handle incoming and outgoing correspondence, including mail and electronic documents
  • Support billing, invoicing, and follow-up on payments
  • Assist with client onboarding by collecting necessary documentation and providing clear instructions.
  • Maintain office supplies and ensure office equipment is functioning properly
  • Provide general support to accountants, payroll specialists, and management as needed

Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree)
  • Proven experience as an administrative assistant or similar role
  • Fluency in English and Spanish (verbal and written) required
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
  • Experience with accounting software (e.g., QuickBooks, Drake, ADP, etc.) is a plus.
  • Ability to handle sensitive information with discretion and confidentiality
  • Positive attitude, professionalism, and strong interpersonal skills
