Job Description

An innovative and fast-growing consumer packaged goods company in Chicago is on the lookout for a highly proactive, organized, and detail-driven Executive Assistant to become a vital partner to our CEO/ Chairman. Key Responsibilities of the Executive Assistant:

  • Take charge of complex scheduling, expertly organizing meetings and ensuring timely follow-ups on critical priorities.
  • Manage comprehensive travel arrangements—both domestic and international—covering flights, lodging, transportation, and all meeting logistics.
  • Prepare and distribute meeting materials, agendas, and key documents ahead of time to keep leadership fully informed.
  • Track and drive completion of cross-functional projects with keen attention and proactive communication.
  • Serve as the primary liaison and trusted representative of the executive office.
  • Provide personal assistant support and handle daily operations with energy, professionalism, and a can-do attitude.
  • Handle highly confidential information with absolute discretion and integrity.
  • Maintain an organized, inviting office atmosphere by managing supplies, setting up meeting spaces, and delivering hospitality support.
  • Support internal communications, proofread documents, manage expense reports, and perform general administrative tasks.
  • Take part in special projects and strategic initiatives as directed by senior leadership.

Qualifications of the Executive Assistant:

  • Minimum 2-5 years of experience in executive support, preferably working closely with senior leadership or UHNW individuals.
  • Strong proficiency in Microsoft Office Suite—Outlook, Excel, Word, and PowerPoint.
  • Exceptional organizational abilities and the skill to juggle multiple priorities with ease.
  • Outstanding written and verbal communication skills.
  • Meticulous attention to detail
  • Proven track record of handling confidential information with the utmost discretion.
  • Excellent problem-solving skills combined with sound judgment and decision-making ability.
  • Energetic, empathetic, and client-focused, with a readiness to tackle any task, big or small.
  • Bachelor’s degree preferred but not mandatory.
