Description The NetSuite Administrator is responsible for managing, configuring, optimizing, and maintaining the NetSuite ERP system to support the business operations and objectives of the organization. This role serves as the primary point of contact for NetSuite-related matters, collaborating with various departments to optimize system use, troubleshoot issues, implement enhancements, and ensure data integrity and security. Essential Job Functions Administers and maintains the NetSuite ERP system, including user access, roles, permissions, and security settings. Configures and customizes NetSuite workflows, fields, records, forms, dashboards, and reports to meet business requirements. Provides day‑to‑day support and troubleshooting for NetSuite users across finance, operations, sales, and other departments. Develops and maintains documentation for system processes, procedures, and customizations. Proactively partners with Finance to ensure auditing requirements are in place and adhered to within the ERP system. Works with stakeholders to gather requirements and implements solutions that improve efficiency and data quality. Monitors system performance, performs regular audits, and manages data imports, exports, and integrations with other applications. Manages NetSuite support services and external consultants for advanced troubleshooting and upgrades. Stays informed and educates staff on NetSuite updates, new features, and best practices to recommend and implement system enhancements. Trains and supports end‑users, including the development of training materials and conducting training sessions as needed with all levels of staff. Ensures compliance with company policies, industry standards, and regulatory requirements regarding data security, retention, privacy, and destruction. Maintains and protects the confidentiality of information. Supervisory Responsibilities May manage one (1) or more director reports and indirectly provide guidance and/or oversight to employees and/or contractors, or vendors. Develops and maintains roles, responsibilities, and expectations. Practices performance management in support of associate development and performs administrative duties associated with being a manager of associates. Responsibilities include interviewing contractors, planning, assigning, and directing work, and resolving problems. Responsibilities also include sponsoring, directing, coordinating, and supporting project and process improvement teams, and participating in and/or supporting project teams sponsored by other management team members. Requirements Education/Experience Bachelor’s degree from an accredited four‑year college or university in Information Technology, Business, Accounting, or a related field (or equivalent experience). 3‑5 years of experience administering NetSuite ERP in a manufacturing or distribution‑related business environment. Strong understanding of NetSuite modules such as Financials, CRM, Inventory, and Order Management. Skilled in SuiteScript 2.0, SuiteAnalytics, and advanced HTML/PDF template design. Advanced knowledge of workflow automation, custom records and objects, CSV imports, and custom report/dashboard development to optimize processes. Knowledgeable in agile project leadership, user training, and system support for large teams. Working knowledge of Roles and Permissions within the ERP system. Excellent analytical, problem‑solving, and communication skills. Ability to work independently and as part of a team, managing multiple priorities and deadlines. Prior experience handling and maintaining confidential and sensitive information. Is legally able to work in the United States. Certificates, Licenses, And Registrations Must have reliable transportation, a valid driver’s license, and insurance. NetSuite Certification: SuiteFoundation certification, NetSuite Certified Administrator certification, or NetSuite Certified Financial User (strongly preferred). Physical Requirements The employee is required daily to analyze and interpret data, communicate, and remain in a standing or stationary position for a significant amount of the workday; and often access, input, and retrieve information from the computer and other office productivity devices. The employee must regularly move about the facility, use hands, wrists, and fingers to grip, type, and write. The employee must frequently lift 20 pounds. The employee will need to have the average ability to hear horns, warnings, and alerts associated with a warehouse. Work Environment The work environment is generally an office or community classroom setting, occasionally exposed to wet and/or humid conditions, strong food‑related smells, and outside weather conditions. Noise level is typically quiet but may occasionally be exposed to loud noise levels. Travel Travel may be required for this position, including up to 10% of the time within the 18‑county area in the Houston metro area. This role supports hours of operations at the Houston Food Bank facilities, as necessary, and may require flexibility (e.g., times of disaster, community events, company events).
