Contract to Hire. Hybrid role in Dallas, TX. Oxford Solutions has an opening with our client for a Proposal Department Administrator for a role focused on government contracts.

This role is ideal for someone with a strong background in coordinating government RFPs and working cross-functionally to ensure timely and accurate proposal submissions.

Responsibilities

• Act as the primary administrative liaison between the Proposal Department and internal departments
• Manage RFP tracking, including monitoring for amendments, logging no-bids, and updating schedules
• Maintain accurate login credentials and manage access for customer/agency portals
• Triage and manage the shared RFP inbox; download and organize documents for distribution
• Review, complete, and format proposal documents and checklists to ensure accuracy and compliance
• Distribute amendments and ensure all stakeholders are informed in a timely manner
• Support submission efforts for federal, state, and local government contracts

Requirements:

• 5+ years of administrative experience in a high-volume, fast-paced setting
• Previous experience in a Proposal Department is required
• Familiarity with government procurement processes and RFP documentation
• Advanced proficiency in Microsoft Office Suite, Adobe Professional, Qvidian, SharePoint, and Microsoft 365
• Experience with Salesforce is a plus
• Highly organized with strong attention to detail and excellent communication skills
